BY-LAWS OF POC FADA GOLF CLUB
I. League format
Stableford (with Handicaps Factored In)
“Stableford" is a scoring system in golf that awards points for the number of strokes taken on each hole in relation to par, rather than simply counting your strokes (like in stroke play). Unlike in stroke play, where you want the lowest score, your goal in Stableford scoring is to have the highest score.
Standard Stableford points values are:

0 Points – Double Bogey or Worse (Two strokes or more over par)

1 Point – Bogey (One stroke over par)

2 Points – Par
-
3 Points – Birdie (One stroke under par)
-
4 Points – Eagle (Two strokes under par)
-
5 Points – Albatross/Double Eagle (Three strokes under par)
Events are held bi-monthly on Sundays
II. Event eligibility

Each host will do their best to secure enough tee times to accommodate the entire club.

In the event we do not have enough tee times the first to respond to the email blast sent by the host will get the spot.

A GUEST can never take a spot of a member who wants to play.
III. Tee Assignments & Entering Scores

Stableford events are played from the white tees unless otherwise specified
-
Stableford Members and Guests over 70 years of age can choose to play from the gold (senior) tees.
-
The Handicap for that event will reflect the players gold tee HCI
-
All members are responsible for entering all scores for rounds played outside of Poc Fada Tournaments. This includes all 9 and 18 hole rounds to remain an accurate and updated handicap throughout the season. This does not include any rounds such as a scrambles, best ball etc…

Handicap Chairman will enter your score for sanctioned Poc Fada events
V. Stableford Championship

The Top 8 Stableford event results for each golfer will be used to qualify for the Stableford Championship

Winner is determined by the best 8 regular season events plus the Final Stableford Championship

The Board can decide to modify the number of events needed to be considered for Stableford Championship mid-year if there have not been enough events played due to weather or other circumstances.

You must have played in 8 POC Fada official events to be eligible for The Stableford Champion

All members are welcome to play the event.

The Club Championship event is a “winner take all” event (Using GHIN HCI)
-
You must have 3 events played to play in the Club Championship
V. Weather Impact on Course Conditions

If a course is not allowing carts out due to course conditions, that round will not be considered a sanctioned event.

If weather prevents carts from going out, the event will attempt to be rescheduled. Golfers who wish to play without a cart are welcome to, but the score will not count towards final standings in Stableford.
VI. League Dues
-
Cost: $200
-
League Dues Covers the following:
-
Your official USGA GHIN
-
End of year banquet
-
Banquet prizes and event planning
All members must pay full dues to be able play events by June 1st of each calendar year.
VII. Host Responsibilities
There should be 2 hosts for every event; a schedule will be distributed before our first event.
The schedule may change due to conflicts or illness, but every event needs two members to serve as hosts.
Hosts of events should always be split – 1 host in first group and 1 host in 2nd to last group
ONLY THE HOST IN THE 2nd TO LAST GROUP CAN OPEN THE BAR TAB
● Choose Course
● Make Tee Times (usually needs to happen 7-10 days out depending on course)

Secure 6-7 Tee Times.
● Once Tee Times are booked, send email blast to all members and include:

Date of Event

Which course we are playing

Time of first T-Time
-
Day that a response is needed if you can play
● Send out email on Friday before event if we have open spots for Guests.

Hosts are responsible to fill guest spots.
● Make Pairings and send to Handicap Chair and all members.
-
You may need to consult board on pairings prior to distribution.
● Collect $20 on the day of event from all players for the prize money for winners.
● Work with Handicap Chair on distribution of cards, collection of cards at end of event, calculating scores for final submission and assistance with transferring scores to Event Sheet
● Get to course early and introduce yourself to the starter as event host.

Wheel prefers all receipts collected by one person.

Tashua likes to get all foursomes (Full Names) prior to event.
● You are responsible for paying the event bill (Beer and Food) with money collected at event start.

Monitor total spend and don’t let it get to far over collection.
-
If total cost of bill is more than money collected; then collect additional money from non- winners at end of event if needed to cover cost.
VIII. POC Fada Board

The POC Fada Board shall consist of 4 (four) members in good standing of the Poc Fada Golf Club
-
Tthey shall exercise all powers of management of the club not specifically excepted by these By-Laws.

The Board consists of a President, Vice President, Treasurer and Handicap Chairman.
-
The Board positions are 2-year terms and will be voted on at the in-person meeting scheduled prior to our first event of that year.
-
All decisions on rule changes, formats, new members, or anything of significance must go to a membership vote.
-
New members will be nominated at kickoff meeting each year, must be seconded and have majority vote of the members in attendance to be invited to PFGC.

All members are required to have official handicap via GHIN. If new members do not have a handicap; they will play the initial events with an estimated HCI, but final standing will be adjusted after an official handicap is established (after 54 holes are entered into GHIN system)

All Members are responsible for hosting at least 1 event each calendar year.
IX. Board Responsibilities
President

Call and preside at all meetings provided for by the bylaws.

See that the bylaws and such rules and regulations as may be adopted by the Board are properly enforced and report to the Board any infractions thereof.

Create the Annual Event Schedule and Host Pairings for each event.
-
Schedule ad-hoc meetings with board as needed.
-
Final decision on any issue, conflict, or infraction.

Schedule End of Year Banquet
Vice-President
-
In the absence or disability of the President, the Vice-President shall take his/her place and perform his/her duties.

Act in an ex-officio capacity as a member of all board positions.

Purchase gifts for end of Year Banquet
Treasurer

Collect Dues from all members.
-
Initiate checks and see that all disbursements are accounted for.

Maintain good standing with GHIN/CSGA
-
Budgeting, event planning and responsible for final bill at the end of year banquet
-
Maintain complete record of the proceedings of the Board and the meetings of the Club.

Keep a complete roll of all members of the Club.
Handicap Chairman
-
Supervise the calculation of the index of each member.
-
Create score cards for each event.
-
Receive the score cards for events as necessary and calculate event winners.

Post Scores to GHIN
-
Send Event re-caps.
X. Handicap Chair Event Tasks
Prior to Event
Day before Event:

Receive final pairings from weekly hosts’ including any guests
Morning of Event:

Log in to GHIN as admin to get latest player handicaps

Download all players to an .xlsx so that you can copy/paste

Round up for >.5; Round down for <.5
Modify Event Master Sheet with current Event Info

Course Name & Date
-
Tee Times with foursomes

Roster of current events players with Rounded Handicap (Gold Tees Use “Course Handicap”)

Print 2 copies
Use Course Excel Workbooks and enter player foursomes on each tab

Enter Name and Handicap (xx)

Use DOTS based on HCI (Handicap Index) for each player

Gold tees use Course Handicap (not HCI)

Mark “Closest to Pin” Holes
During Event

Hand out score cards

Give event host copy of event sheet to keep track of who paid

Collect 1 Scorecard from each group
Group should have already entered the following: Gross/Net/Stableford and Circled Birdies

Look for any obvious missing information (missing scores…wrong points) and adjust accordingly

Transpose scores from scorecards to Event Sheet

Add up any Birdies and note on each scorecard

Give Event sheet to Host to announce winners (or you can announce)
After Event

Complete/Audit all scorecards
Add up any Birdies

Give Event sheet to Host to announce winners (or you can announce)

Log into GHIN and enter audited scores (make sure to adjust for Net Double Bogey)
